How to Use Shopify Gift Cards in Xoro

Shopify gift cards can be synchronized with Xoro through the Gift Cards settings available in the Shopify Sales Channel. Once a gift card is imported into Xoro, a corresponding credit memo is automatically created using the configured gift card SKU. When the gift card is subsequently used on a Shopify order, the gift card application is reflected when the order is imported into Xoro.

Configure Gift Card Settings

Step 1: Navigate to Menu → Apps → Sales Channels and open the Shopify sales channel.

Step 2: Select Gift Cards from the available settings in the menu.

Step 3: Now, configure the required gift card settings, including:

  • Sync gift cards – Enables synchronization of gift cards from Shopify to Xoro.

  • Gift Card SKU Name – Specifies the SKU used for gift card orders.

  • Gift Card Liability Account – Specifies the account used to record the gift card liability.

  • Exchange Sales Gift Card Account – Specifies the account used for exchange gift card orders.

  • Third Party Gift Card Provider – Specifies the third-party provider used for fetching gift cards, if applicable.

  • Advanced Settings – Provides additional options for gift card synchronization, including filtering by API Client ID, fetching gift cards if they are not found in Xoro, synchronizing gift cards before the integration start date, allowing partial gift card order synchronization, and refunding disabled or expired gift cards.

Configure these settings according to the requirements of the Shopify integration.

Creating a Gift Card in Shopify

Step 1: In Shopify, navigate to Products → Gift cards and click Create gift card.

Step 2: Enter the required gift card details, such as the Gift card code, Initial value, and Customer. Click Save to create the gift card.

You can also enable the Send gift card now checkbox to send the gift card to the customer's email address. Click Preview email to preview the gift card email before sending it.

Step 3: In Xoro, open the Shopify Sales Channel and select Gift Cards. Click Actions → Import by gift card.

Step 4: In the Import by gift card popup, select Shopify gift card id and enter the Shopify gift card ID in the Value field. Click Import.

Step 5: Refresh the Gift Cards page. The imported gift card is displayed with a message indicating that the Gift Card synced successfully.

Step 6: After the gift card is successfully imported, Xoro automatically creates a corresponding Credit Memo for the gift card using the configured gift card SKU as a non-inventory item.

Step 7: Navigate to the Credit Memo Centre and open the credit memo created for the imported gift card to view its details.

Creating a gift card product (purchased gift card) and creating an actual gift card (issued gift card) are separate actions. Use Create gift card to issue an individual gift card that can be imported into Xoro.

How to Apply a Gift Card to a Shopify Order

Step 1: In Shopify, open the online store, select the required product, and proceed to checkout. Apply the created gift card during checkout.

Step 2: Navigate to the Orders tab in Shopify and view the newly created sales order record. The Tags column displays the Gift card used tag for orders where a gift card has been applied.

Step 3: In the Orders tab of the Sales Channel, view the import status of the newly created order.

Step 4: Go to the Sales Order Centre and open the sales order to view the gift card applied to the order in the Credit Memo section of the Linked Credits/Deposits tab.

In the Customer Deposit section, you can view the Remaining Amount of the customer deposit linked to the sales order.

Step 10: After the order is successfully imported, open the corresponding sales order in the Sales Order Centre. The purchased gift card is reflected on the sales order, and the corresponding Customer Deposit is created for the gift card amount.

If the Gift Card product is not available in Xoro, the Default SKU Name configured in the Advanced section of Order Settings in the Shopify Sales Channel is used on the imported Sales Order.

To map the Shopify Gift Card product to a specific item in Xoro, create the corresponding item in Xoro using the same product handle as the Shopify product. The product handle can be identified by opening the product in Shopify and checking the URL handle in the Search engine listing section. The value after /products/ is the product handle. For example, in .../products/sandbox2, sandbox2 is the product handle.

Alternatively, you can append .json to the URL of the required product at the top of the page to access the product details, including the product handle.

FAQ

1. How Do I Convert a Gift Card Product into a Gift Card?

A: A Gift Card product cannot be converted directly into a gift card. The product represents the gift card being purchased, while the actual gift card is generated separately.

To issue the gift card:

  1. Add the Gift Card product to the required order.

  2. Complete the order and click Send gift card.

  3. The actual gift card is generated/activated and sent to the recipient via email.

  4. The recipient can use the generated gift card for a future purchase.

The original Gift Card product remains as the product/order line and is not converted into the actual gift card.

2. Why is the Gift Cards option not visible in the Shopify channel menu?

A: If Gift Cards are not available in the Shopify channel menu, the Sync Gift Cards setting may not be enabled for the account.

To enable the option:

  1. Go to the Shopify channel.

  1. Open Account Settings.

  1. Under Settings, select Gift Cards. The Sync gift cards checkbox is disabled, so the Gift Cards option is not available in the menu.

  1. Select the Sync gift cards checkbox to enable gift card synchronization from Shopify to Xoro.

  1. Configure the required Gift Card SKU Name, Gift Card Liability Account, and Exchange Sale Gift Card Account fields. Click Save.

  2. Return to the Shopify channel menu. The Gift Cards option is now available.
