Item Sales and Margin Analysis Report

What is Item Sales and Margin Analysis Report?

The Item Sales and Margin Analysis Report provides a comprehensive view of item-wise sales performance and profitability over a selected period. It helps businesses analyze sales quantities, revenue, costs, gross profit, and gross margin for individual items, making it easier to identify high-performing products and evaluate overall profitability.

The report also includes all inbound transactions, including Returns, ensuring that sales and margin calculations accurately reflect returned inventory and other inbound activities.

Running and Customizing the Item Sales and Margin Analysis Report

To access and work with the Item Sales and Margin Analysis Report in XoroERP, follow these steps:

  1. Navigate to Menu > Reports > Operation > Item Sales and Margin Analysis Report.

  2. The report is displayed in a Grid view by default. You can switch to the Chart view using the toolbar to visualize the report data graphically.

Report Filters

The report provides several filters that allow you to narrow down the data based on your business requirements. These filters are located at the top of the report.

  • Period: Filters the report based on a predefined time period or a custom date range. You can select a predefined period such as This Week, This Month, Last Month, etc., or enter custom From and To dates.

  • Store: Filters the report by a specific store to analyze item sales and margins for that location.

  • Item/SKU: Allows you to search for a specific item or SKU.

  • Description: Allows you to search for items using their description.

  • Brand: Filters the report by product brand.

  • Category: Filters the report by product category.

After selecting the required filters, click the Refresh icon in the top-right corner of the report to apply the changes.

Item Sales and Margin Analysis Report Fields

The report contains a wide range of fields that provide detailed sales and profitability information for every item.

Field
Description

Store

Displays the store where the transaction occurred.

Item Number

Displays the unique item number or SKU.

Description

Displays the item description.

Brand

Displays the brand associated with the item.

Tags

Displays the tags assigned to the item.

Item Category

Displays the item category.

Product Category

Displays the product category assigned to the item.

Season

Displays the season assigned to the item.

Option 1 Value

Displays the first item option value (such as Size or Color).

Option 2 Value

Displays the second item option value.

Option 3 Value

Displays the third item option value.

Qty Sold

Displays the total quantity sold during the selected period.

Sales Amount

Displays the total sales amount generated by the item.

Average Cost

Displays the average cost of the item.

Gross Profit

Displays the profit earned after deducting the item cost from the sales amount.

Gross Margin (Range)

Displays the gross margin percentage for the selected reporting period.

Gross Margin (Lifetime)

Displays the lifetime gross margin percentage of the item.

These fields help businesses evaluate item performance, compare profitability across products, and make informed inventory and pricing decisions.

Toolbar

The toolbar provides several options for managing and customizing the report.

  1. File:

  • Save My Layout: Saves the current report layout for future use.

  • Restore Layout: Restores the previously saved report layout.

  • Restore Filters: Removes all applied filters and restores the default filter settings.

  • Save as New: Saves the current report configuration as a new report.

  1. Tools:

  • Expand All: Expands all grouped data within the report.

  • Collapse All: Collapses all expanded groups for a simplified view.

  • Fill Group Cells: Repeats grouped values in blank cells to improve readability.

  • Hide Group Cells: Hides repeated grouped values for a cleaner report layout.

  1. Export:

  • Grid: Exports the report in a tabular format.

  • Chart: Displays the report in graphical chart format for easier visualization and analysis.

Layout and Formatting Options

The Format, Options, and Fields buttons allow users to customize the appearance and structure of the report.

Format

The Format window allows users to customize how values are displayed within the report. Users can select which value to format, change text alignment, configure thousand and decimal separators, specify currency symbols and their formatting, display custom values for null fields, and choose whether values should be displayed as percentages.

The window also allows users to apply conditional formatting based on predefined conditions, with support for multiple formatting rules to highlight important data within the report.

Options

The Options window allows users to configure how the report is displayed.

Available options include:

Grand Totals: Configure how grand totals are displayed:

  • Do not show grand totals

  • Show grand totals

  • Show for rows only

  • Show for columns only

Subtotals: Control how subtotals appear within grouped data:

  • Do not show subtotals

  • Show subtotals

  • Show subtotal rows only

  • Show subtotal columns only

Layout: Choose the report layout:

  • Compact Form

  • Classic Form

  • Flat Form

After making the required changes, click Apply to update the report.

Fields

The Fields option allows users to customize which columns are displayed in the report.

Within this window, users can search available fields, select or deselect fields using the checkboxes, rearrange the display order by dragging and dropping fields, and use Select All to quickly include every available field.

For example, users can display additional fields such as Gross Margin (Range), Gross Margin (Lifetime), Custom Fields, Tags, Season, or Product Category, depending on their reporting requirements.

Click Apply to update the report with the selected fields.

Access to reports in the Reporting Library is controlled through the Access Manager module. If a report is not visible, cannot be accessed, or needs to be removed from the Reporting Library for specific users, verify the report permissions assigned through the user's Role, Custom Access, or Profile settings in Access Manager. The reports and report-related actions available to a user may vary based on their assigned access privileges.
