The Bill Centre offers a variety of options and search fields to effectively handle and streamline the processes related to Bills and Bill Payments.
Print: Allows you to generate a physical copy of the selected bills for documentation or record-keeping purposes. The print feature is useful for maintaining hard copies of bills for audit trails or compliance requirements.
Add to Email Queue: Enables you to queue the selected bills to be sent via email at a later time, facilitating efficient communication with vendors or internal stakeholders. You can use this feature to schedule bill notifications or reminders to be sent to vendors or relevant team members, ensuring timely payment and clear communication.
Batch Delete: Allows you to void multiple selected bills simultaneously, removing them from the system and updating inventory records if applicable. Batch deletion is helpful in cases where duplicate bills are generated or incorrect bills need to be removed from the system to maintain accurate financial records.
Batch Put On-Hold Status: Enables you to place multiple selected bills on hold status, suspending payment processing until further action is taken. You can use this feature to temporarily halt payment processing for bills that require additional review or approval, preventing inadvertent payments and ensuring financial accuracy.
Batch Remove On-Hold Status: Allows you to remove the on-hold status from multiple selected bills, resuming payment processing. Once bills have been reviewed and approved, you can use this feature to release them from on-hold status and proceed with payment processing without delays.
Show Transactions: Provides access to a detailed journal view of transactions related to the selected bills, offering insights into payment history and financial transactions. This feature is valuable for conducting audits, analyzing payment trends, and reconciling accounts, enhancing financial transparency and accountability.
Approval: Allows you to manage the approval status of bills, marking them as waiting for approval or approved based on review and authorization.
Mark as Waiting For Approval: Allows you to change the status of the bill to "Waiting For Approval".
Mark as Approved: Allows you to change the status of the bill to "Approved".
Edit in New Window: Function: Redirects users to the Bill module interface, where they can view and edit bill details as needed, including adding purchase order lines, voiding bills, or adding items. This feature enables users to make necessary adjustments to bills, such as correcting errors or updating information, improving data accuracy and integrity within the system.
Below, we'll detail the header-level search fields designed to enhance search precision. These fields empower users to perform accurate searches and access critical bill-related information directly from the Bill Centre.
Search By: Within the Bill Centre, you have the capability to conduct searches for Bills utilizing various criteria, including:
Bill: This allows you to filter search results as per the Bill.
Bill Items Detail: This allows you to view the search results based on the Bill Items Details. The item details include Bill Number, PO#, Item Number, Landed Unit Cost and Description amongst other details.
Bill Expense Detail: This allows you to view the search results based on the Bill Expense Details. The details include Account Name, Amount, Tax Amount and Description.
Store: This field enables users to search for bills associated with a specific store within the XoroERP system. By selecting this option, users can filter bills based on their respective store locations, facilitating streamlined organization and management.
Status: This allows users to filter search results based on the status of Bills. The dropdown menu associated with this field offers options to select specific bill statuses, including Open, Partially Paid, Paid, and Void. Users can choose individual status options or select all statuses as per their requirements.
Vendor: This field facilitates the search for bills by vendor name. Users can enter the name of the vendor associated with the bill they are looking for, simplifying the process of locating bills tied to specific customers.
PO Number: This field allows users to search for Bills based on their associated Purchase Order (PO) numbers. By entering the relevant PO number, users can locate bills linked to specific purchase orders, facilitating seamless tracking and management of transactions.
Bill Number: This provides users with the ability to search for bills using their respective bill numbers. Users can enter the bill number they wish to find, allowing for efficient navigation and retrieval of specific bills within the system.
Vendor Bill Number: This allows users to filter the search results as per the Vendor Bill Number.
In addition to the header options, the Bill Centre provides users with a wide range of additional functionalities, enabling them to perform various tasks directly within the Bill Centre interface. Clicking on a specific bills opens a dropdown menu offering the following options:
Pay: Redirects users to the Pay Bill module, offering a centralized platform to view pending bill amounts and proceed with direct bill payments.
Show Payments: Displays a comprehensive list of payments associated with bill payments, providing transparency into payment history and tracking.
Show Credits Applied: Presents details of vendor credits applied toward bill payments, demonstrating how credits contribute to reducing bill amounts.
Show Prepayments Applied: Allows users to view prepayments that have been applied to selected bills, providing insight into advance payments made to vendors.
Batch Put On-Hold Status: Allows users to place multiple selected bills on hold status, temporarily suspending payment processing for further review or action.
Batch Remove On-Hold Status: Allows users to remove on-hold status from multiple selected bills, resuming payment processing and clearing bills for payment.
Show Transactions: Provides access to the Journal Transactional View for bills, offering detailed insights into financial transactions.
Approval: Offers sub-options for managing bill approval status, allowing users to mark bills as waiting for approval or approved based on internal review and authorization processes.

Advanced Search:
The Advanced Search option elevates customer information retrieval to a sophisticated level. Users can delve into a nuanced search by specifying criteria such as Column Name, Operator, and Value, facilitating precise and tailored searches.
Generate Link:
This allows you to generate link for the selected Bill.
Columns:
Columns represent the customizable criteria available to users, enabling them to further refine their searches.
Save:
Save feature enables users to preserve any updated user interface (UI) settings, ensuring a personalized and consistent experience during future interactions with the module.
