Setting default document templates streamlines the process of sharing documents from a specific module, ensuring consistency and efficiency. It involves selecting the module for which you want to set the default template. After the module is selected, you can set the default template for the required documents in the module.
Begin by navigating to the header section of the default document template configuration. Here, you are prompted to choose the specific module for which you want to set up default document templates. Selecting a module will direct you to a more detailed mapping section.
Once you've selected the document in the header section, you'll see all the actions associated with that module in the mapping section below. These actions include all the types of documents that can be shared for the module. This allows you to set a default for each document corresponding to the module.
Action
This section displays all possible documents related to the selected module. Each action represents a distinct type of document that may be generated or shared within the module.
Pdf Template
To set a PDF as the default template, click on the "Pencil" icon. This will enable you to specify which PDF template you wish to use as the default.
Email Template Body
Click on the "Pencil" icon under this column allows you to select the default email template body. This is particularly useful for documents that are primarily shared via email.
Send From Email Template
Click on the "Pencil" icon under this section to define which email address will be used to send the document.
Order-related emails often contain crucial information, like order confirmations, invoices, and shipping details. While these PDF attachments are essential, there are situations where their inclusion might be unnecessary or even unwanted.
To tackle such situations, XoroERP provides the option to “Exclude PDF Attachment". This allows you to selectively choose whether or not to include a PDF attachment in specific order-related emails. This means that the emails can be sent without the PDF template.
To exclude the pdf attachment from an email, follow the steps mentioned below.
In the Default Document Template module, from the drop-down option, select the document type associated with the email you wish to modify.
Click on the value under the "PDF Template" section of the document.
In the "Change Default Template" window, select the "Exclude PDF Attachment" option and click "Save". This will automatically remove the PDF attachment from the email for the chosen document type.
When this is selected for any action then a pdf attachment will not be sent for that particular email for that action.
A similar option of “Exclude PDF Attachment” is added in the "Pdf Template" dropdown under the "Email Templates" tab in the Customer module.
Preference will be given to the customer-level selection. If nothing is selected on the customer level, then it will work according to the Default Document Template module setting.
