What is Universal Code Series ?

The Universal Code Series module in XoroERP is designed to streamline and automate the generation of UPC (Universal Product Code) and GTIN (Global Trade Item Number) numbers for your inventory items. This module provides enhanced flexibility and control over your code generation process, ensuring organized and efficient inventory management.

To access Universal Code Series, got to Menu > Admin > Universal Code Series

The Universal Code Series module is a sophisticated tool within XoroERP that automates the creation of UPC and GTIN codes. These codes are essential for product identification and tracking in inventory management. The module allows users to define and manage code series, ensuring that each product variant receives a unique and traceable identifier.

  • Automated Code Generation: Automatically generate UPC and GTIN numbers for new product variants, saving time and reducing manual entry errors.

  • Customizable Code Series: Define start and end ranges, prefixes, and code types (UPC, GTIN, or Both) to tailor the code generation process to your specific needs.

  • Editable Fields: Modify all fields except the Current Value, which auto-increments based on the number of items created.

  • Single Active Series: Ensure only one active series at a time, with the Both type series taking precedence over individual UPC or GTIN series.

  • Error Handling: Prevent the creation of new series if a Both type series is already active, ensuring consistency and avoiding conflicts.

  • Refresh:

    • This functionality empowers users to refresh search results based on selected criteria, ensuring that the displayed information is always up-to-date.

  • Save:

    • Save feature enables users to preserve any updated user interface (UI) settings, ensuring a personalized and consistent experience during future interactions with the module.

  • Advanced Search:

    • The Advanced Search option elevates customer information retrieval to a sophisticated level. Users can delve into a nuanced search by specifying criteria such as Column Name, Operator, and Value, facilitating precise and tailored searches.

  • Generate Link:

    • This allows you to generate link for the selected Item Receipt.

  • Columns:

    • Columns represent the customizable criteria available to users, enabling them to further refine their searches. The options in the dropdown changes as per the selected option in the Search By Field.

  • Download:

    • This versatile feature allows users to export and download data in various file formats, providing a summarized overview for quick reference. Options include CSV, TXT, MS-Word, MS-Excel, PDF, and MS-Excel(.xlsx), catering to diverse user preferences and use cases.

Columns Tabs

Code Type: This specifies the type of code series being created. It determines the format and application of the generated codes.

  • Options: UPC, GTIN, or Both.

Name: This is the name of the code series. It provides a reference identifier for the series, aiding in management and organization.

Start Range: The beginning number of the code range. It sets the lower limit for code generation, ensuring organized and sequential code allocation.

End Range: This is the ending number of the code range. It defines the upper limit for code generation, controlling the scope and quantity of generated codes.

Current Value: The value of the last UPC/GTIN generated. Auto-increments based on item creation, indicating the next number to be assigned. This field is not editable.

UPC Prefix: An optional prefix for the UPC series. It adds a predefined set of characters to the beginning of each generated UPC number for additional customization.

GTIN Prefix: This is an optional prefix for the GTIN series. Similar to the UPC prefix, this adds a predefined set of characters to each GTIN number for customization.

GTIN Type: This specifies the type of GTIN being used. It ensures the correct format and application of the GTIN codes.

Check Digit: This indicates whether a check digit is included in the code. It enhances the accuracy and reliability of the code by adding a digit for error detection.

Is Active?: This indicates whether the series is currently active. It ensures only one series is used for code generation at any given time, with the Both type series taking precedence.

Detailed Workflow

  1. Navigate to the Universal Code Series Module:

    • Access the module via Home > Inventory > Universal Code Series.

  2. Creating a New Series:

    • Name: Enter a descriptive name for the code series.

    • Code Type: Select the type of code series (UPC, GTIN, or Both) from the dropdown menu.

    • Start Range and End Range: Define the numerical range for code generation.

    • Prefixes: Optionally, add UPC or GTIN prefixes to customize the codes.

    • Add Series: Click to create and save the series.

  3. Managing Active Series:

    • Ensure only one series is active at any time. If a Both type series is active, it will deactivate any other series.

    • Editing fields like the Start Range, End Range, and prefixes is possible, but the Current Value field remains non-editable as it auto-increments.

  4. Error Handling:

    • If attempting to create a UPC or GTIN series while "Both" type series is active, the system will generate an error, ensuring consistency and preventing conflicts.
