Item Inventory Snapshot Active Columns

The Item Inventory Snapshot is the primary place to view stock levels, including On Hand (in stock), Available, and ATS quantities. These columns provide you with a comprehensive view of inventory statuses, along with detailed analytical insights such as sales history and forecast trends. By clicking on specific inventory numbers, you can view crucial inventory metrics, sales history graphs, incoming delivery schedules, and cross-company inventory information.

This detailed breakdown assists in strategic planning and decision-making, making it an indispensable feature for inventory management across various industries.

On Hand & Available

The “On Hand” and “Available” quantities serve as fundamental indicators of the current stock levels of an item. On clicking the "On Hand" or "Available" quantity, you will be redirected to the "Qty Details" screen, where you will be able to see the inventory levels in the header section, the sales history and forecast trend related to the item, and the details of the on-hand inventory.

Qty Details Header Section

The header section of the Qty Details screen displays the various inventory levels associated with the item, along with the vendor name and vendor lead time. This section serves as a quick reference point for understanding the item’s stock position.

Qty Details Columns

The Qty Details table provides a location-level breakdown of inventory for the selected item, including availability, tracking identifiers, and quality-related information.

Field

Description

Store

Displays the store where the inventory is held.

Item Number

The unique identifier of the item for which inventory details are shown.

Description

Description of the item as defined in the Item Centre.

Type

This field indicates whether the item is of inventory, shipping or a service type.

Location

The specific location within the store where the inventory is stored.

On Hand

Shows the total physical quantity(in stock) of the item currently available at the location.

Available

Displays the quantity available for allocation or sale after considering reservations.

Not Available

Indicates the quantity that is unavailable due to holds, damage, or other restrictions.

Lot#

Displays the lot number associated with the inventory, if applicable.

Batch#

Shows the batch number used for batch-controlled inventory items.

LPN#

Displays the License Plate Number (LPN) used for tracking inventory containers or pallets.

Mfg Date

Indicates the manufacturing date of the inventory item, if tracked.

Expiry Date

Shows the expiration date of the item, applicable for perishable or regulated goods.

Quality

Reflects the quality status of the inventory (e.g., Brand New or Quality Code).

Sales History & Forecast Trend

The sales history and forecast trend section of the Qty Details screen shows you a graph of the item sales and purchase quantity for the year.

Hover the mouse on the graph to view these 4 key parameters:

  • Units Sold: This shows the units of the item sold during that period.

  • Units Purchase: This shows the units of the item purchased during that period.

  • Units Consumed: If the item in question is a raw material, this shows the units of the item used during that period for producing a manufacturable item.

  • Units Produced: If the item in question is a manufacturable item, this shows the units of the item produced during that period.

In addition to these key parameters, the Sales History & Forecast Trends section has three sections to further present the inventory details:

Table View

The "Table View" shows the sales history and forecast in a tabular format, instead of the graph.

Incoming Deliveries

This section shows the details of the POs on which the Item has been ordered and the expected delivery date of the Item as per the PO.

Field

Store

This field displays the store associated with the purchase order.

Item Number

This field displays the item number.

PO Number

This field shows the purchase order number on which the item has been ordered.

Qty Available

The available quantity of the item is captured in this field.

PO Qty

The total quantity ordered on the PO is captured in this field.

UOM

This field shows the unit of measurement for the item.

Expected Delivery Date

This field displays the date on which the item on the purchase order are supposed to be delivered.

Inventory Info (Multi Company)*

Clicking on this tab will navigate you to the “Qty Detail Multi-Company” section. Here, you will find a comprehensive view of the inventory available by Location for the Item across all integrated instances.

*Please note that this section will only be available if the "Show Inventory Info (Multi Company)" app config is enabled.

On SO & On SO (Draft)

The "On SO" and "On SO (Draft)" columns provide valuable insights into items currently committed to sales orders—both finalized and draft (Open status), respectively. By clicking on these quantities, you are taken to the "On SO Details" screen, where you can view all Sales Orders (including draft/Open orders) associated with the selected item. This screen showcases:

  • Inventory Levels: This section displays a snapshot of the current inventory status for the item, along with the vendor name and vendor lead time.

  • Sales History and Forecast Trend: Analytical data offering insights into past sales performance and future projections.

  • Sales Order Details: Specific information about the sales orders that includes the item, aiding in efficient order management and planning. This section includes details such as the customer name, sales order number, order date, quantity ordered, quantity shipped, address instructions, shipping address, item custom fields, linked PO quantity, etc.

On SO Details Columns

Field

Store

Displays the store/location from which the Sales Order is processed.

Customer

Displays the customer associated with the Sales Order.

SO#

Displays the Sales Order number. This field typically provides a link to open the Sales Order record.

Item

Displays the item number included in the Sales Order line.

Description

Displays the description of the item.

Qty Ord

Shows the total quantity ordered for the item.

Qty Shipped

Displays the quantity that has already been shipped.

Qty Remaining

Indicates the quantity that is yet to be fulfilled.

Qty Allocated

Displays the quantity currently allocated to the Sales Order.

Ship By

Displays the scheduled shipment date for the order line.

Order Date

Indicates the date on which the Sales Order was created.

Status

Displays the current status of the Sales Order.

Title

Displays the title associated with the Sales Order, if applicable.

Deposit (SO)

Displays the deposit amount linked to the Sales Order.

Terms

Displays the payment terms associated with the Sales Order.

Notes

Displays any notes recorded for the Sales Order line.

Bill To Name

Displays the billing customer name associated with the Sales Order.

Promise Date

Displays the promised delivery date committed to the customer.

Address Instruction Field 1 (Ship To)

Displays the first shipping address instruction configured for the Ship To address.

Address Instruction Field 2 (Ship To)

Displays the second shipping address instruction configured for the Ship To address.

Address Instruction Field 3 (Ship To)

Displays the third shipping address instruction configured for the Ship To address.

Address Instruction Field 4 (Ship To)

Displays the fourth shipping address instruction configured for the Ship To address.

Address Instruction Field 5 (Ship To)

Displays the fifth shipping address instruction configured for the Ship To address.

Address Instruction Field 6 (Ship To)

Displays the sixth shipping address instruction configured for the Ship To address.

Address Instruction Field 7 (Ship To)

Displays the seventh shipping address instruction configured for the Ship To address.

Customer PO

Displays the customer purchase order number associated with the Sales Order.

Third Party Ref#

Displays the reference number from the external third-party system, if applicable.

Ref#

Displays the reference number entered for the Sales Order.

Created By

Displays the user who created the Sales Order.

Sell UOM

Displays the Unit of Measure used for the item in the Sales Order.

SKU UOM

Displays the item's default (SKU) Unit of Measure.

UOM Factor

Displays the conversion factor between the selected Sell UOM and the SKU UOM.

Sales Rep

Displays the Sales Representative assigned to the Sales Order.

Ship To First Name

Displays the recipient's first name.

Ship To Last Name

Displays the recipient's last name.

Ship To Address

Displays the primary shipping street address.

Ship To Address2

Displays the second line of the shipping address, if available.

Ship To City

Displays the shipping city.

Ship To State

Displays the shipping state or province.

Ship To Country

Displays the shipping country.

Ship To Postal/Zip

Displays the shipping postal or ZIP code.

Ship To Company Name

Displays the company name associated with the shipping address.

Ship To Addr Name

Displays the name assigned to the Ship To address.

Ship To Phone

Displays the shipping contact phone number.

Ship To Email

Displays the shipping contact email address.

Linked PO Qty

Displays the quantity linked to a related Purchase Order.

Active Linked Qty

Displays the quantity currently linked to active Purchase Orders.

Order Type Name

Displays the Order Type selected for the Sales Order under the Other tab.

Tags

Displays the Order Tags assigned to the Sales Order. If multiple tags are assigned, they are displayed as a comma-separated list.

Date To Be Cancelled

Displays the date entered in the To Be Cancelled field of the Sales Order.

Memo

Displays the contents of the Memo field entered in the Sales Order footer.

On PO & On PO (Draft)

Similarly, by clicking on the "On PO" and "On PO (Draft)" quantities, you are directed to the "On PO Details" screen, where you can view the purchase order details of the orders on which the item is currently requested. Here, you can expect to find:

  • Inventory Levels: Presenting a current overview of how many units of the item are available or in reserve.

  • Sales History and Forecast Trend: This feature aids in understanding how the item has performed sales-wise in the past and its expected performance moving forward, crucial for inventory planning.

  • Purchase Order Details: Specific information about the purchase orders that includes the item, aiding in efficient order management and planning. This section includes the following columns:

On PO Details Columns

Field

Description

Store

Displays the store/location for which the Purchase Order is created.

Vendor

Shows the vendor associated with the Purchase Order.

PO#

Displays the Purchase Order number. This field typically provides a link to open the PO record.

Item Number

Indicates the Item# associated with the Purchase Order line.

Description

Displays the item description as recorded in the Purchase Order.

Qty Ord

Shows the total quantity ordered in the Purchase Order.

Qty Received

Displays the quantity already received against the Purchase Order.

Qty Remaining

Indicates the remaining quantity yet to be received.

Status

Shows the current status of the Purchase Order (e.g. Released).

Deliver By

Displays the expected delivery date for the Purchase Order.

Order Date

Indicates the date on which the Purchase Order was created.

Linked SO Qty

Shows the quantity linked or allocated to a related Sales Order, if applicable.

Ref Number

Displays the reference number entered in the Purchase Order for traceability.

Please note that the quantity header fields (except for ATS quantities) in the Quantity Details subform are clickable, allowing users to quickly access relevant transaction details.

Upon clicking a header field, the system will display a corresponding subform with detailed information. For example, if you click on the "In Picking" header, the system will present the In Picking Details subform. This subform shows details about the sales orders linked to items that are currently being picked, ensuring you have all necessary transaction details at your fingertips.

In Receiving

The "In Receiving" column provides visibility into inventory that is currently expected through Advanced Shipping Notices (ASNs). By clicking on the "In Receiving" quantity, you are directed to the "In Receiving Details" screen, where you can view all ASN records associated with the selected item. Here, you can expect to find:

Inventory Levels: Displays a summary of the current inventory status for the selected item, including quantities such as On Hand, Available, ATS, In Picking, On SO, In Receiving, Net Available, and Re-Order information.

Sales History & Forecast Trend: Provides analytical insights into historical sales activity and forecast trends for the selected item, helping users make informed inventory planning decisions.

In Receiving Details: Displays ASN records associated with the selected item. This section includes details such as Store, Item Number, Description, Ref Number, Type, ASN Number, Qty, ASN Ref Number, and any Custom Fields configured for the ASN transaction type. The Custom Field values are automatically displayed and updated based on the corresponding ASN record, providing enhanced visibility and traceability for incoming inventory.
