The Sales Order Centre serves as a dynamic platform within the Xoro ERP system, offering a wide array of header-level options designed to optimize the management and processing of sales orders. These options provide unparalleled flexibility and control over the sales order workflow, empowering users to efficiently navigate through various tasks and streamline operations. Let's delve into the key header-level options and explore how they enhance sales order management:
The Header Level options are located under the "Options" menu in the top left corner of the page.
Print: This allows you to print the selected Sales Order.
Add to Email Queue: This allows you to places the sales order in the email queue for sending at a later time. All you need to do is select the Document and Email Template along with selecting the Recipient. You also have the option of Combining Attachments Per Recipient.
Release: This allows you to directly release the selected Sales Order in an open status.
Merge Order Lines: This allows you to merge the order lines with the same item numbers within individual sales orders.
Close SO: Closes the sales order and restricts any further processing.
Re-Open SO: Reopens a closed or cancelled sales order for further processing. **This option needs elevated permissions.
Void: This allows you to Void the selected SO. Voided orders are deleted permanently from the system.
Cancel: Mark the sales order as cancelled and restrict any further processing.
Batch Updates: This allows you to perform Batch Updates to the selected Sales Order. This allows you to update tags for multiple Sales Orders at one go.
You just need to select the Tags from the Column dropdown and fill in the updated Value for it and click Update. The updated details will reflect in the Sales Order Centre.
Batch Update BackOrder: This allows you to update the BackOrder quantity for a batch of selected Sales Orders.
Quick Ship: This function performs the quick ship function, automating all the intermediate processes such as Wave-> Pick-> Pack-> Ship
Create Wave -
Auto: Offers different sub-options for automatically creating a wave based on specific criteria, such as full order(s) only, full quantity line(s) only, or allocating what's available.
Full Order(s) Only: Automatically creates a wave for full orders only.
Full Qty Line(s) Only: Automatically creates a wave for full quantity line items only.
Allocate What's Available: Automatically allocates items available for fulfillment in the wave.
Manual: Provides an interface to manually create a wave for warehousing and fulfillment.
Take Deposit: Provides sub-options for sending or generating a deposit link, as well as recording the deposit.
Send Deposit Link: Sends a deposit link to the customer to pay.
Generate Deposit Link: Generates a deposit link for the customer. This option also offers the users the option to generate a single combined payment link for multiple sales orders from the same customer.
Generating Combined Payment Link
To enable the option for generating multi-order link functionality, enable the app config "Send or generate a single payment link for multiple sales orders".
Go to Options > Take Deposit > Generate Pay Deposit Link.
In the Generate Deposit Link pop-up, check the box next to "Generate single link for multiple orders" and click OK to continue.
A combined link for deposit payment will be generated for all the selected orders.
Link Visibility and Data:
The combined link will display the Order Numbers for all included orders in a comma-separated list under the Ref# column in the pop-up message.
The payment page will also display the Order Numbers and Customer POs in a comma-separated list.
The report will include data for all combined orders in a single PDF file.
Amount and Breakdown:
The total amount displayed on the payment page will be the sum of all deposit amounts for the combined orders.
Users will not be able to change the amount on the payment page.
A table will be included (only for combined links) to break down the deposit amount for each individual order.
Deposit Allocation:
Payments made through the combined link will be allocated correctly to each individual order and reflected on their respective SO pages.
Sales Order Centre Updates:
A new column "Deposit Links Combined?" has been added to the Sales Order Centre. This column will display a checkmark for all orders included in a combined deposit link.
Combined Link Management:
If a user tries to create a single link for one or more or all deposits in a combined group, a new link will be generated for the deposit payment and every deposit link in the combined group will turn into a single link deposit.
If a user tries to create a new combined group but chooses one deposit from another combined group, then the new combined group will be formed, and the remaining deposits in the old combined group will turn into single-link deposits.
Remove Address Verification Error: This allows you to remove any Address Verification Error in the selected Sales Order. If there is no error, the system shall prompt you with a message popup that No Address Verification Error Found.
Allocation and Preview: This allows you to gain insights into the allocation and shipping status of selected Sales Orders with this feature. By accessing the Options dropdown menu, users can discern whether an order is fully or partially allocated, as well as its shipping status. This functionality provides valuable information about the status of Sales Orders, facilitating informed decision-making. Additionally, within the Allocation Preview window, users can delve deeper into allocated orders' details and statuses. Here, options such as Release, Merge Order Lines, Close, Wave, and Quick Ship empower users to efficiently manage allocated orders, optimizing order fulfillment processes.
Approval: Offers options for marking the order for approval or removing approval status.
Mark as Waiting For Approval: Marks the sales order as waiting for approval.
Mark as Approved: Marks the sales order as approved.
Remove Approval Status: Removes the approval status from the sales order.
